Event-day staff often need access to Tambala for a very short and specific job: checking attendees into an event.

You can use Teammates to give them that access without giving them control over the rest of your business.

Decide who needs access

Before the event, identify the people who will work at the entrance.

You may have ordinary gate staff who only scan tickets and one or two trusted managers responsible for difficult cases.

Those people should not necessarily receive the same permissions.

Gate staff normally need enough access to check tickets.

A trusted event manager may need wider access to handle walk-ins, ticket problems or other event decisions.

Keep these roles separate where possible.

Add gate staff as teammates

From Teammates, add each person who will use Tambala at the gate.

Use their real name and their own sign-in information.

Do not create one account called “Gate Staff” and give the password to ten people.

When everyone has their own teammate account, you can control their access individually and understand who performed an action.

Give ordinary gate staff check-in access

If someone's only job is scanning attendees, give them the limited Ticket Check-In access or the equivalent option available in Tambala.

They should not need permission to edit the event, change prices, manage payouts or alter your business settings.

Tambala may also provide a Check-in Crew preset that selects the appropriate access for this job.

Use it as a starting point and confirm that the person only has what they need.

Assign them to the correct event

Where Tambala allows event-specific assignment, choose the exact event or events the teammate will work.

Someone helping at Saturday's concert does not need access to every future event your business creates.

Event assignment is especially useful when you use temporary staff or volunteers.

Before event day, check that every gate teammate can access the correct event.

Choose a trusted event manager

At least one person at the gate should usually have more authority than ordinary check-in staff.

This person can handle problems such as walk-ins, disputed tickets or other cases that should not be decided by every scanner operator.

Give this person the appropriate event-management access only if they genuinely need it.

Tell ordinary gate staff who the manager is before doors open.

When something unusual happens, they should send the attendee to that person rather than inventing a solution themselves.

Test access before the event

Do not discover at the gate that half your team cannot sign in.

Before event day, ask staff to sign in using their own teammate accounts and open the check-in tools.

Confirm that:

They can access the correct event.

They can open the check-in page.

Their device works.

They cannot access areas of the business they do not need.

If something is wrong, fix the teammate permission or event assignment before the event begins.

Brief the team

Permissions are only part of good gate management.

The staff should also know how you want the entrance to operate.

A simple model is:

Main line → Help point → Manager

Normal valid tickets move through the main line.

Tickets that will not scan or need investigation move to the help point.

Cases requiring a decision go to the manager.

During the event

Each teammate should remain signed into their own account.

Do not switch accounts between devices unnecessarily.

If Tambala shows that another teammate has already checked in a ticket, treat that information as part of the same event record.

Different gates are still working on one event.

If someone needs more authority during the event, the owner can change their permissions where necessary. Do not solve the problem by giving them the owner's password.

After the event

Review temporary access.

If a teammate was only helping for one event, remove their assignment to that event or disable their account if they no longer need Tambala access.

If they will work another event later, you can keep the account and assign them again when needed.

Do not leave temporary gate staff with unnecessary access indefinitely.
